Privacy Policy

How we collect, use, and protect your information.

Wallaby White Glove LLC (“Wallaby White Glove,” “we,” “us,” or “our”) provides furniture receiving, inspection, storage, inventory management, and white-glove delivery services in West Texas. This Privacy Policy explains what information we collect when you visit our website, request a quote, or use our client portal, how we use that information, and the limited circumstances in which we share it.

By using our website or client portal you consent to the practices described here. If you do not agree, please do not use the site or portal.

1. Information We Collect

We collect only the information we need to provide our services and operate our business. Specifically:

  • Contact information — your name, business name (if applicable), email address, phone number, and the service address(es) at which we deliver, receive, or store goods on your behalf.
  • Account information — if you register for the client portal, we store your login email, an encrypted password, and your role (client, staff, or admin).
  • Project and inventory information — descriptions, dimensions, condition notes, vendor information, photographs, and storage locations for items we receive, inspect, store, or deliver on your behalf.
  • Billing information — the billing contact, billing address, and payment history associated with your projects. Payment instrument details (card numbers, ACH details) are handled directly by Intuit QuickBooks and are not stored on our servers.
  • Communications — the content of messages, quote requests, and contact-form submissions you send us through the website or portal.
  • Technical information — standard server logs (IP address, browser type, pages visited, timestamps) used to keep the site secure and to diagnose problems. We do not use third-party advertising or behavioral-tracking cookies.

2. How We Use Your Information

We use the information above to:

  • Respond to quote requests, contact-form submissions, and messages.
  • Schedule and perform receiving, inspection, storage, and delivery services.
  • Maintain an inventory record of items we hold or move on your behalf, including photographs and condition notes.
  • Generate, send, and reconcile invoices and accept payment through QuickBooks.
  • Send transactional emails — for example, registration confirmations, password resets, delivery confirmations, and invoice notifications.
  • Operate, secure, and improve the website and the client portal.
  • Comply with applicable law and protect our legal rights.

We do not sell your personal information. We do not use your information for advertising or marketing by third parties.

3. Third-Party Service Providers

To deliver our services we share specific information with a small number of trusted service providers. Each is described below along with the data they receive and the purpose. These providers act on our instructions and are contractually bound to protect your information.

  • Intuit QuickBooks Online — we use QuickBooks for invoicing and payment processing. When you become a billing client we transmit your name, billing address, contact information, project line items, and invoice totals to Intuit. Payment instrument details you enter to pay an invoice are collected and stored by Intuit, not by us. Intuit’s handling of that data is governed by the Intuit Global Privacy Statement.
  • SendGrid (Twilio) — we use SendGrid to deliver transactional email (registration, password reset, quote and delivery confirmations, invoice notifications). SendGrid receives the recipient email address, the message content, and delivery metadata.
  • Supabase — we use Supabase for database hosting and for secure storage of inventory photographs. All data you submit to the website or portal is stored in our Supabase project in the United States.
  • Vercel — our website and client portal are hosted on Vercel. Vercel receives standard web-server logs (IP address, request path, response codes) as part of normal operation.
  • Anthropic — we use Anthropic’s Claude API to assist with automatically categorizing inventory photographs (for example, identifying that an item is a chair, sofa, table, etc.). When this feature is used, the photograph is transmitted to Anthropic for classification. Anthropic does not retain submissions to train its models under its current commercial API terms.

We may also disclose information when required by law (for example, in response to a valid subpoena or court order), to enforce our Terms of Service, or to protect the rights, safety, and property of our company, our clients, or others.

4. How We Protect Your Information

We use industry-standard safeguards, including:

  • HTTPS/TLS encryption for all traffic to and from the site and portal.
  • Encrypted storage of database contents and uploaded files at rest.
  • Password hashing using one-way cryptographic functions (we never store plain-text passwords).
  • Role-based access controls so that staff and admin accounts only see information relevant to their role.
  • Routine, automated backups so we can restore your data in the event of accidental loss.

No system is perfectly secure. While we take reasonable steps to protect your information, we cannot guarantee its absolute security.

5. Data Retention

We retain client, project, inventory, and billing records for as long as you are an active client and afterwards for the period required for tax, accounting, and legal purposes — typically seven (7) years for financial records, in line with standard United States retention requirements.

Quote requests and contact-form submissions from non-clients are retained for up to two (2) years and then removed unless they have become part of an active client relationship.

6. Your Rights

You have the right to ask us what personal information we hold about you, to request that we correct inaccurate information, and to request that we delete information we are not legally required to keep. Residents of California, Texas, and other states with comprehensive consumer privacy laws have additional rights under those laws, including the right to know what categories of information are collected, the right to opt out of any sale of personal information (we do not sell), and the right to non-discrimination for exercising these rights. We honor these requests regardless of your state of residence.

7. Children’s Privacy

Our services are intended for businesses and adults. We do not knowingly collect personal information from anyone under the age of 13. If you believe a child has provided us with personal information, contact us and we will delete it.

8. International Users

We operate in West Texas and store all data in the United States. If you access the site or portal from outside the United States, you are consenting to the transfer of your information to, and processing in, the United States.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of the page. Material changes will be communicated to active client-portal users by email. Continued use of the site or portal after a change is posted constitutes acceptance of the revised policy.
